An unexpected room problem

Maya Hello. I booked a room for a small training session tomorrow. I’ve just learned that two participants use wheelchairs, and the room in my confirmation is upstairs.

Owen Thanks for telling us. That room has no lift access, but I manage the bookings for a ground-floor studio as well. How many people are coming?

Maya Twelve, including the trainer. We also need a screen for slides.

Owen The ground-floor studio holds sixteen and has a screen. It is free at your original time, so I can move the booking at no extra charge.

Maya That would solve the problem. Please send me the revised room details so I can tell the group.

Owen Of course. I’ll email a new confirmation this afternoon.

Which details show Owen’s role?

He manages bookings, checks another room and offers to move the reservation.

The actions support a booking-service role. We do not need to invent a more specific job title.

Strategy

  • Use the opening problem and the response together to identify the purpose.
  • Infer a role from the service or action offered, not from a job title you expect.
  • Track the agreed outcome, not just the first request.

Arrange a suitable space

Room options

  • Garden room: ground floor, 12 places, whiteboard.
  • Studio: ground floor, 20 places, screen.
  • Loft: upstairs with no lift, 8 places, screen.

Choose a group

  • Choose 6, 10 or 15 participants.
  • Decide whether anyone needs step-free access.
  • Decide whether you need a screen or whiteboard.
  • More than one plan may work; explain and agree one.

Listen and answer

  1. What is causing difficulty?

The support feet are too wide for the entrance.

The panels are suitable, but their feet prevent them fitting through the narrow entrance.

  2. Why does Maya reject the smaller-panel option?

The posters are already attached to the current panels.

Maya wants to keep the panels because the posters are already attached.

  3. What will Maya do tomorrow morning?

Meet the technician when the building opens

Maya says she will meet the technician at eight thirty, when the caretaker opens the building.

A display panel will not fit

Maya I’m calling about the display panels you delivered for Friday’s exhibition. The panels are fine, but the support feet are too wide for the narrow entrance.

Owen I see. We could send a smaller set of panels.

Maya I’d rather keep these panels because our posters are already attached. Can the feet be removed during the move?

Owen Yes, but they need a special tool. I can ask our technician to come tomorrow morning, remove the feet and reattach them inside.

Maya That sounds better. The caretaker opens the building at eight thirty, and I’ll meet the technician then.

Owen I’ll reserve that visit and send the technician your phone number. You don’t need to detach the posters.

Which proposal becomes the plan?

A technician will remove and reattach the support feet inside the building.

Maya prefers to keep the existing panels and accepts the technician’s visit, so smaller panels are not the final solution.

Strategy

  • Separate the problem from the action proposed to solve it.
  • Listen for acceptance or rejection before treating an offer as agreed.
  • Use time and responsibility words to track who will do what.

Negotiate a repair plan

A community event setup

  • Problem choices: a cable is too short; a sign blocks the entrance; a table is unstable.
  • Solution choices: move the setup; borrow suitable equipment; arrange help from a technician.
  • Choose a realistic opening time and who can be present.

Conversation pattern

  • Describe the problem precisely.
  • Propose one solution and give a reason to accept or reject it.
  • Agree a final solution, time and responsible person.

Proposals and actions in the report

Part 3

女性は“I need an accessible room”とは言いません。

一人が配達を遅らせようと提案し、もう一人が“I’d rather not; the stand has to be ready on Friday.”

  • 提案:“Why don’t we move it?”(動詞の原形)、“How about asking the team?”(-ing)
I can move the booking.” “Shall I call them?”
  • 断り:“I’d rather keep the current supplier.”(“to”は不要)
That would solve the problem.” “Let’s do that.”

“What will… do next?” “I’ll email a new confirmation this afternoon.” “Please send me the revised room details so I can tell the group”では、送るのは男性の仕事、グループに伝えるのは女性の仕事です。

  • “I’ll…”
  • “I’ll ask our technician to…”:第三者が動きます。

“We’re expecting twenty people, we need a projector, and our budget is fifty dollars an hour at most.”

  • 週に2回、計画が決まらずに終わった会議について英語で話してみましょう:“We all thought…, but…”、“In the end, nobody…”。

TOEIC Listening Part 3

“What will the man do next?”

会話の終わり近くで“I’ll”、“Let me”、“Could you…?”
