A complete Dutch exchange

Checking in at the city office

Use polite u with an employee you do not know. Short, complete answers help the employee find the booking.

Bezoeker

Goedemorgen. Ik heb om tien uur een afspraak voor mijn inschrijving.

Good morning. I have an appointment at ten for my registration.

Medewerker

Op welke naam staat de afspraak?

What name is the appointment under?

Bezoeker

Op naam van Samira Khan. Wilt u ook mijn afspraakbevestiging zien?

It is under Samira Khan. Would you also like to see my appointment confirmation?

Medewerker

Ja, graag. Heeft u ook een geldig identiteitsbewijs bij u?

Yes, please. Do you also have valid identification with you?

Bezoeker

Ja, hier is mijn paspoort. Moet ik nog ergens wachten?

Yes, here is my passport. Do I need to wait somewhere?

Medewerker

Neemt u plaats bij balie zes. U wordt zo geroepen.

Please take a seat near desk six. You will be called shortly.

Notice: Formal phrases such as neemt u plaats are routine service language.

Clarifying an address document

The employee asks for evidence connected with the address. Confirm what you have and ask a narrow follow-up.

Medewerker

Heeft u een bewijs dat u op dit adres woont?

Do you have proof that you live at this address?

Bezoeker

Ik heb mijn huurcontract meegenomen. Is dat voldoende?

I brought my tenancy agreement. Is that sufficient?

Medewerker

Ik kijk het even na. Woont u alleen op dit adres?

I will check that. Do you live alone at this address?

Bezoeker

Nee, ik woon er met mijn partner. Moet mijn partner ook persoonlijk langskomen?

No, I live there with my partner. Does my partner also need to come in person?

Medewerker

Dat hangt van de aanvraag af. Ik schrijf op wat nog nodig is.

That depends on the application. I will write down what is still needed.

Bezoeker

Dank u. Kunt u ook zeggen wanneer ik bericht krijg?

Thank you. Can you also say when I will receive a message?

Notice: Is dat voldoende? is a useful neutral check. Let the municipality decide what counts for your case.

Keep the structure. Change the detail.

Common mistakes and clearer alternatives

Avoid

Ik kom voor registreren.

Use

Ik kom voor mijn inschrijving.

The noun phrase sounds complete and fits a counter appointment.
Avoid

Jij moet mijn paspoort?

Use

Wilt u mijn paspoort zien?

Use a polite question with an unfamiliar official; moeten also changes the meaning.
Avoid

Wanneer ik krijg bericht?

Use

Wanneer krijg ik bericht?

A Dutch main question puts the finite verb before the subject.

Make it fit your situation

Two useful adaptations

You did not understand

Pardon, kunt u dat iets langzamer herhalen?

Sorry, could you repeat that a little more slowly?

Pardon is concise and natural; add the exact word you missed if possible.

Something is missing

Ik heb dat document vandaag niet bij me. Hoe kan ik het later aanleveren?

I do not have that document with me today. How can I submit it later?

This asks for procedure without assuming later submission is allowed.

Your turn

Say a version that belongs to you

A 60-second city-office rehearsal

Say your appointment purpose, give one identifying detail, present one document and ask one next-step question.

  1. Say the greeting, appointment time and purpose in one breath.
  2. Spell your surname slowly, then say the address with postcode.
  3. Hold up an imaginary document and ask whether it is sufficient.
  4. Ask when or how you will receive the next message.
  5. Repeat once with a missing-document adaptation.
This exercise does not submit or save your draft.
Self-check after you speak

Common questions

Before you practise

Should I use u or je at the municipality?

Start with u. If the employee uses je, you may mirror it, but staying with u is always workable.

Does this guide tell me which documents I need?

No. Requirements depend on the municipality and your situation. Check your appointment confirmation and municipality website.

What if the employee switches to English?

You can accept, or say: Ik wil graag Nederlands oefenen, maar graag in het Engels als iets belangrijk is.
