English for Hotel Reception: Check-in and Room Problems

Use four moves at reception: confirm the booking, name the exact mismatch, check the property's real options, and repeat the agreed next step. Start with: “Welcome. May I have the name on the reservation? I'll confirm the dates and room details before we continue.”

Give one complete check-in response

This response confirms what matches, names a discrepancy and promises a check rather than a room that may not exist. Official Hyatt pages show that check-in times, identification and card requirements can differ by property.

Four moves

Keep the front-desk exchange in a useful order

  1. Confirm the reservation holder

Ask for the name and, when the property process needs it, the confirmation number. Avoid unnecessary personal or payment details aloud.

Could I have the name on the reservation, please?
  2. Repeat the stay and room details

Confirm dates, nights, room type and guest count before discussing keys or payment.

I have you for two nights, checking out on Friday, in a twin room. Is that correct?
  3. Name one problem precisely

Say what the system shows and what the guest expected, without blaming anyone.

Your confirmation says breakfast is included, but that detail is not showing on this screen.
  4. Check, offer, confirm

Consult the booking and authorised options, explain any condition before action, then repeat the selected next step.

I'll check the booking notes now and explain the options before making a change.

Two conversations

Practise a routine arrival and a room mismatch

A routine check-in

The reservation appears correctly. The property has its own identification and payment process.

Receptionist

Good evening. Welcome. May I have the name on the reservation?

Guest

It's under Jordan Lee. I'm staying for three nights.

Receptionist

Thank you. I have three nights in a queen room, with checkout on Monday. Is that right?

Guest

Yes. Is breakfast included?

Receptionist

Let me confirm the rate details rather than guess. Yes, this booking includes breakfast. I'll now explain the identification and payment authorisation required by this property.

Repeat the booking before introducing property-specific requirements. Confirm instead of answering from memory.

  • I have you checking out on [day/date]. Is that correct?
  • Let me confirm whether [breakfast/parking/late checkout] is included in this booking.
The room type does not match

The guest's confirmation and the reception screen show different room types.

Guest

I booked a king room, but this says twin room.

Receptionist

Thank you for showing me the confirmation. The dates match, but I can see the room-type difference.

Guest

Can you change it now?

Receptionist

I'll check today's availability and the original booking conditions. I can't confirm the change until that check is complete.

Guest

What happens if a king room is not available?

Receptionist

I'll explain the options this property can offer and any difference before you choose. I won't change the booking without confirming it with you.

Acknowledge the evidence, name the mismatch and keep availability uncertain until checked.

  • The [dates/name] match, but I can see a difference in [room type/rate inclusion/guest count].
  • I'll check [availability/the booking notes] and explain the options before making a change.

Clearer English

Replace risky shortcuts with accurate service language

×

Your room is not ready. You must wait.

The room is not ready yet. I'll check the current estimate and tell you what options are available.

An estimate and available options are more useful than a blunt instruction.
×

We always need this card and ID.

For this reservation, this property requires identification and a payment method at check-in. Let me explain what is accepted.

Requirements differ, so tie the explanation to the actual property and booking.
×

I will upgrade you.

I'll check whether another room type is available and explain any conditions before you decide.

Checking availability is verifiable; an upgrade may not be available.

For a delayed room, add an owner and update time. For a name mismatch, check the authorised process. Describe a payment hold only after verifying the amount and release wording for that property.

Speak aloud

Run a five-minute front-desk rehearsal

5 min
  1. Create a fictional booking with a guest name, two dates and one room type; do not use real guest data.
  2. Confirm the reservation in two sentences and ask one focused question.
  3. Add one mismatch: room type, breakfast inclusion or arrival time.
  4. Explain what you will check without promising availability, a waiver or an upgrade.
  5. Repeat the agreed next step and give an update time only if the fictional receptionist controls it.
This exercise does not submit or save your draft.
